Privacy Policy

Command Station ("we", "us", "our") provides security operations software used by security companies and their personnel. This Privacy Policy explains what information we collect, how we use it, and the rights you have regarding your data when using our web portal (app.commandstation.ca) and our mobile applications (the "Command Station Guard App" / "CS Guard").

1. Information We Collect

Account Information

When a security company is onboarded, we collect: company name, contact email, contact phone, billing details. When guards are added to the platform we collect: first name, last name, email, phone, address, security license number and expiry, and a reference to an uploaded license document.

Location Data (Guard Mobile App)

When a guard is on active duty, the Command Station Guard App collects precise device location in the foreground and background. Location data is used exclusively for the following purposes:

  • Verifying the guard's clock-in and clock-out at an assigned site.
  • Detecting if a guard leaves the geofenced duty area (geofence breach alerts).
  • Providing real-time visibility to dispatch / admins during active shifts.

Location is only collected while the guard is signed in and has an active or upcoming shift. Location collection stops when the shift is clocked out or when the guard signs out of the app. A persistent foreground notification is displayed while background location is being collected, as required by iOS and Android.

Usage & Operational Data

Shift assignments, clock-in/out timestamps, patrol checkpoint scans, incident reports, daily activity reports, photos submitted as incident evidence, and device heartbeat records (timestamp + location + shift id).

Device & Diagnostic Information

Device model, operating system version, app version, push notification token, and crash/diagnostic logs.

2. How We Use Your Information

  • To provide the core features of the platform (scheduling, clock-in, patrol tracking, incident reporting).
  • To verify on-site presence and generate audit trails for client reporting.
  • To send operational notifications (shift assignments, reminders, geofence breach alerts).
  • To bill security companies and produce invoices.
  • To maintain security, prevent fraud, and debug the service.

We do not use your data for advertising. We do not sell your data.

3. How We Share Your Information

Your data is scoped to your employing security company. Admins and dispatchers at your company can view the data generated by that company's guards. End clients of a security company may receive reports containing shift times, patrol completion records, and incident summaries related to their sites.

We use a small set of trusted service providers to run the platform — for cloud hosting and database, authentication, maps, mobile app delivery and push notifications, payments, and email delivery. A current list is available on request from support@commandstation.ca.

We may also disclose information when required by law, subpoena, or to protect the rights and safety of users.

4. Data Retention

Operational records (shifts, patrol scans, incidents, daily reports) are kept for the duration of your active subscription so they're available for client reporting and audits. When a company is archived and then permanently deleted by our team, all of that company's data — guard records, shifts, patrol scans, incidents, uploaded files, and sign-in accounts — is removed for good.

5. Your Rights

You have the right to access, correct, or request deletion of your personal data.

In-App Account Deletion

Guards can request deletion of their account directly from the CS Guard mobile app by opening Profile → Request account deletion. The request is sent to your employing security company's administrator for review. Once approved, your personal information (name, email, phone, address, photo, and license details) is removed from our systems and you lose access to the app.

Employment records (shift history, clock-in/out times, incident reports, patrol scans, and daily activity reports) may be retained by your employing company as required by applicable labour and tax law, but are no longer associated with your personal identity after deletion approval.

6. Children's Privacy

The service is intended for use by security industry professionals. We do not knowingly collect personal information from children under 13.

7. Security

All data is transmitted over an encrypted connection (TLS). Database access rules are enforced server-side so that each security company can only read and write its own data. Sign-ins are protected by industry-standard credential safeguards.

8. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated by updating the "Last updated" date above and, where appropriate, by in-app notice.
